We know privacy matters. This page provides a simple, human-friendly overview of how privacy, cookies, and analytics work in Cetegra Workspace and Cetegra Docs — without legal or technical complexity.

Who is this for?

This overview is intended for:

  • End users of Cetegra Workspace and Cetegra Docs
  • Customer representatives using the Cetegra services

It does not cover:

  • The public website (cegal.com)
  • Marketing, newsletters, or events
  • Recruitment or job applications

Who is responsible for your data?

  • Your company is usually the data controller for user accounts and how the service is used.
  • Cegal acts as a data processor, operating and securing the platform on your company’s behalf.

For certain limited operational purposes (such as security, platform stability, and support), Cegal acts as an independent data controller.


What kind of data do we process?

Only what is needed to operate and improve the service.

Account and access

  • User ID
  • Username or display name (may be a work email address)
  • Role or persona (for example user, admin, IT manager)
  • Company or tenant association
  • Login timestamps and session information

Usage data (analytics)

  • Which features and pages are used
  • Your user type in Cetegra (for example Basic User, Advanced User, or IT Admin)
  • A tab-lifetime session ID, automatically cleared when you close the browser tab
  • A pseudonymous identifier — only when you have given consent (see below)

The pseudonymous identifier is an opaque number generated internally. It is not your real user ID and is not visible to administrators or other users within Cetegra. It can only be correlated with a specific account by Cegal’s internal operations team.

🚫 We do not collect IP addresses, browser type, operating system, or referring pages as part of analytics.

Support and operations

  • Support requests and correspondence
  • Error logs and diagnostics needed to keep the service running

🚫 We do not process sensitive personal data (such as health data, political views, or similar).


What do we use the data for?

We use data only to:

  • Provide and operate the Cetegra products
  • Authenticate users and manage access
  • Keep the platform secure and stable
  • Provide support and handle incidents
  • Improve the product based on real usage (only with your consent)
  • Meet legal and contractual obligations

🚫 We do not use your data for:

  • Marketing or advertising
  • Profiling
  • Automated decision-making
  • Cross-service tracking

Cookies — the short version

We use cookies for one purpose only: keeping the service running securely.

Necessary cookies (always on)

Required for:

  • Secure login
  • Session handling
  • Platform stability and security

These cookies do not require consent and do not store personal data such as names or email addresses.

Analytics cookies — we don’t use them

Cetegra Workspace does not set analytics cookies. Where you have consented to usage analytics, a short-lived session identifier is stored in your browser’s sessionStorage — not as a cookie. It is automatically cleared when you close the browser tab.

Analytics — in plain language

If you choose to enable analytics, we collect limited, pseudonymous usage data to understand how Cetegra Workspace is used and where the product can be improved.

  • Analytics are never enabled by default
  • Analytics are used only for product improvement
  • All analytics data is stored within Cegal’s own infrastructure in Europe (EEA) — no third-party analytics provider is used

Typical examples of what is collected:

  • Opening an application or module
  • Navigating between features
  • Submitting a case or request
  • Ordering from the catalog

We do not collect order IDs, case descriptions, free-text input, or similar content — only that an action occurred.

Analytics are not used for marketing, profiling, advertising, or automated decision-making.


You are always in control of analytics:

  • You can accept or decline when the consent dialog appears
  • You can change your choice at any time in Profile → Account settings → Customize

If you decline or withdraw consent:

  • Usage events are still collected for product improvement, but without a user identifier — individual events cannot be linked back to you
  • Product functionality is completely unaffected

If you give consent:

  • A pseudonymous identifier (an opaque generated number — not your real user ID) is included with events so that usage patterns can be analysed per user type over time. This identifier is not visible to administrators or other users within Cetegra.

Notifications and surveys

Cetegra Workspace includes built-in functionality to show important product notifications and collect optional feedback about updates. This functionality is part of the Cetegra platform and operates within the same infrastructure and data processing terms.

To avoid showing the same message repeatedly, a pseudonymous user identifier and company association may be used. This information is used only for product communication and feedback, and is not shared with third parties.
